The same switchyard redrawn as luminous line-art, tracks and switches as fine paths with pulses of light travelling along them.

A3 — Applied Intelligence

Business Automation

Replace repetition with intelligence

Applied domain A3

Businesses lose time when people become the integration layer between disconnected systems. We build platforms that connect applications, data, workflows and decisions.

The objective isn’t automation for its own sake. It’s giving people their time back.

  • Data entry & synchronisation
  • Business workflows
  • Reporting processes
  • System-to-system operations
  • Document workflows
  • Approval processes
  • Notifications & actions
  • Repetitive operational tasks

The real problems

The real problems → Our approach

  1. 01

    People as the integration layer

Orders re-keyed from e-mail into the ERP, invoices checked against spreadsheets, status copied from one system to another by hand. Every manual hop is slow, invisible and a source of errors.

    Our approach

Workflows as diagrams and as code

Processes are modelled visually with their business owners and executed as versioned, testable definitions — what the diagram shows is exactly what runs.

  2. 02

Documents that don’t fit a form

Invoices, contracts and delivery notes arrive as PDFs and scans in countless layouts. Extracting the right fields reliably is harder than it looks.

    Our approach

    Integration through interfaces first

We connect systems through their APIs, databases and message queues — ERP, CRM, e-mail, REST and SOAP services, GİB e-Fatura and e-Arşiv — and use screen automation only where no interface exists.

  3. 03

    Fragile scripts and bots

Screen-scraping bots and one-off scripts break when a screen changes, fail silently and leave no record of what they did. Automation without error handling becomes a new manual task.

    Our approach

    Document intelligence with a reviewer

OCR and field-extraction models read incoming documents and score their own confidence. Low-confidence fields go to a person for confirmation, and every correction improves the model.

  4. 04

    Approvals lost in inboxes

Decisions wait in e-mail threads with no owner, no deadline and no record. Nobody can say where a request is or why it has stalled.

    Our approach

    Reliability in every step

Retries with backoff, idempotent actions, SLA timers and a complete audit log mean that a failed step is retried or escalated — never silently lost.

The product for this domain

VARDA Relay

Process automation & system orchestration

Let systems talk, so people can think.

Orchestrates work across ERP, CRM, e-mail and GİB e-invoicing, reads documents with OCR, and routes exceptions to people with SLAs and a full audit trail.

  • Visual design, real code
  • Connectors for the systems you run
  • Document intelligence
  • Human-in-the-loop approvals

Illustrative scenarios

Illustrative scenarios

Scenarios are illustrative; they do not describe specific clients.

  1. 01

    Supplier invoices, end to end

    Context

A mid-sized distributor’s finance team receives e-invoices and PDF invoices from hundreds of suppliers, and matches each one by hand against purchase orders and goods receipts in the ERP.

    Outcome

E-invoices arrive as structured data through the integrator, PDFs are read by document extraction and three-way matching runs automatically. The team handles only the exceptions, each with the reason it was flagged.

  2. 02

    Onboarding without re-keying

    Context

An insurance agency network collects application forms by e-mail and re-enters them into several separate systems, leading to frequent mismatches and slow turnaround.

    Outcome

Applications are captured once, validated against business rules and written to every system through its API. Exceptions land in an approval queue with an SLA, and each step is recorded.

  3. 03

    Month-end reporting on schedule

    Context

A logistics company’s operations team spends the first days of every month exporting data from several systems and assembling management reports by hand.

    Outcome

Data is collected and reconciled on a schedule, reports are generated and distributed automatically, and the team reviews the figures instead of assembling them.

Compliance & governance

Compliance & governance

  • Designed to support GİB e-Fatura and e-Arşiv processes through integrator connections and archived source documents.
  • Designed to support KVKK requirements, with personal data masked in logs and access restricted by role.
  • Designed to support internal-control and audit requirements through a complete, immutable record of every step and approval.
  • Designed to support segregation of duties: the person who submits a request cannot approve it.

Frequently asked questions

Frequently asked questions

01Is this RPA?

Partly, but not mainly. Robotic process automation drives user interfaces, which makes it fragile. We integrate through APIs, databases and message queues wherever they exist, and keep UI automation for systems that offer no other interface — isolated, monitored and easy to replace.

02What happens when an automated step fails?

It is retried at increasing intervals; if it keeps failing, it moves to an exception queue with its full context and the owner is alerted. Actions are idempotent, so a retry never creates a duplicate order or payment, and the audit log shows exactly what happened.

03Can business teams change workflows themselves?

Within limits, yes. Thresholds, routing rules, approvers and notification texts can be configured by authorised users. Structural changes such as new integrations or new steps go through versioning and testing, because a workflow is production software.

04Which process should we automate first?

One that is frequent, rule-based, painful and measurable — and whose failure would not be critical while the automation matures. We map candidate processes with the teams who run them and start where the value is clear and the risk is contained.

Let’s design the right architecture for business automation.
